I've decided to start the monster task of getting our guest list togehter and I just had a couple of quick questions. I'm using an excel spreedsheet given to me by one of the i-do members (can't for the life of me remember who) but I can't figure out wether I'm meant to list each person individually or if I should be listing couples/ families together, which would be more user freindly? Also how did you guys manage to get everyone's names and addresses (I can't even remember my own family's details) how am I supposed to track down details for 150 people? I feel so overwhelmed which is why I've been putting it off but I'm going to need a better idea of numbers before I book the reception venue.

I would, personally, list everyone separately. That way you've got a more "visual" idea of how long your list is.

I listed the guests in my spreadsheet as they would appear on the invitations (so singles, couples or families, whichever was applicable). In order to keep track of the numbers I also had a little colomn next to the names, that was simply titled 'no' so if it was a couple I would write '2' in there, or '4' for a family for example. That way I could just total up that column and know how many there was.

In terms of addresses, the online white pages will be your best friend! Actually MIL was a great help & I got her to give me a list of all their family to invite, and she listed down their addresses & phone numbers with them.

I listed each guest separately.

As to the addresses, I gave my mum her list and MIL her list, and they tracked them all down. I did those for our friends, workmates.

I listed the couples together and made another column to keep track of the numbers - i pretty much had all of my addresses lucky for me 2 of my cousins (1 from each side) got married before me and i did their invites so i used their lists to get the addresses i did not have.

I just have to get the inlaws to get their addresses

Jane, I'm pretty sure you're using my spreadsheet.

For the guest list, list everyone separately, then you can COUNT the number of guests.

For the mailing list, don't do it separately do it as you would send the invites. You can then use the excel spreadsheet in a mail merge to labels that can be used not only for invitations but also for Thank you notes.

It is a mammoth task getting all the addresses together, but once it's done, it's done!!

I listed each guest separately. This made it easier when I used the spreadsheet to keep track of dietary requirements and when I made place cards.

For addresses, I found as many as I could where I knew the suburb etc through the phone book. These lists then went to MIL and mum to confirm and add any I couldn't find. Definitely a job to delegate to them!

I did mine in couples/ families....seperate columns for name, address, suburb, state and postcode. Then also had a column for "other" things that need to be noted ie: celiac, vegetarian etc.
I then added columns with how many were in the family and added it down the bottom.
The reason I did it like this was to mail merge it so having it all set out properly was a big help.
As for the addresses, I had most, MIL had to track all of hers down and we managed to get all but one which her parents are hand delivering as they know where they live but not the address rolleyes.gif

Ohhhh and there are still 10 invites to go out because the lovely DAVID still hasn't got me the addresses...I'm sick of chasing them. I've given up now!

Don't worry once this is all out of the way it makes it a lot easier!

I used an invite register I made, it let me know exactly how many invites I needed as well as allowing me to know how many guests we were having as well. I've sent you an email to.

I am using an excel spreadsheet for my guest list to. I have separate columns for guest names, address etc I am putting 1 person to a line but giving each an invite number. This way 2 people with different surnames are still on the one invite, but I can clearly deleate anyone who says they can not make it even if others on the same invite can.

I used basically the same kind of thing. I had a column for names, one for addresses and one for accepted/declined.

As far as getting addresses, Mum and Dad got the ones for people they wanted to invite, MIL got the ones for people she wanted to invite and Steve and I got the ones for our friends.

We were still giving out some invitations the week before the wedding because of address problems. Embarrassingly enough there were three invites never sent because we couldn't get addresses.

It's one of the tougher jobs I thought!

Then I had another document which was our reception seating plan listing. Once we received an r.s.v.p. I typed the people's names who had responded as a yes directly into the seating plan, in alphabetical order. So really, I had three lists to refer to. The seating plan list was good in that it listed each person individually and I was able to monitor the numbers on that as the r.s.v.p's came in.

I did mine by having a line for each family, i typed up everyones name and had the number of people invited and next to that how many were coming.
